Orientation


I met Miss. Charity human resource officer in Prosoft IT Inc. She introduced me to organization schedule and plan for internship operations. According to structure and policies of the organization, interns are required to experience orientation process which usually takes two weeks (S. K Charity, personal communication May 04, 2016). The first half of the first week involved an introduction to Prosoft IT Inc structure of the organization. Interns were required to visit various departments as well meeting with different department heads. Assigned assistant person included Mr. Samuel human relations officer in Prosoft IT Inc. purpose of understanding organization structure included getting familiar with the location of offices and fundamental areas where IT assets, hubs, and workshops are managed (Wechsler, 2012).
The second half of the first week involved an introduction to organization processes, functions, and operations. The session involves understanding how to different processes are linked with other business activities within the organization to facilitate coordination flow of operation (S. K Charity, personal communication May 04, 2016). The purpose of the session is facilitating interns to internalize organization goals, objectives, aims, and missions.  The first half of the Second week scheduled required interns to understand their specific department’s roles, duties, and responsibilities. They had to take charge and control of various activities within the allocated offices (S. K Charity, personal communication May 03, 2016). The second half of the second week involved training interns on various basic operations in handling Prosoft IT Inc data and information. The purpose of training is to equip interns with professional practices and major operations such as maintaining systems. Practical involved in session shall include handling hardware and software systems (P. T Samuel, personal communication May 07, 2016).

Action

A took part in session involving introduction to organization structure of organization. Through Mr. Samuel guided me through organization departments. Major activities involved simple demonstrations of organization functions and how they coordinate functions within organization operations. Demonstration included viewing how business processes are integrated with information technology in each department (Jiang, & Raghupathi, 2010). Communication channels and flow of information from one department to another is structured and based on organization hierarchy, and levels of administration (P. T Samuel, personal communication May 08, 2016). Major operations of  Prosoft IT Inc included developing IT based systems such as online business application, web hosting services, various types database designing, structuring and developing data warehousing, developing SAP FICO and other E-commerce application as well as Dynamic and static web development.
The goals and objective of Prosoft IT Inc is to facilitate high level coordination of human needs and requirements through implementing high standardized products and services. Prosoft IT Inc focuses on developing user interest software based on business needs and requirement. Quality and standard are their main principles (S. K Charity, personal communication May 04, 2016). I was trained on how to handle IT assets as well as computer based systems. Training involves downloading and installation of basic software components. Basic activities involved included downloading and installing Integrated Development Environment (IDE) systems such as Java Development Kit (JDK). I was also trained how to upgrade systems for better performance. Maintenance activities included upgrading hardware and software components (S. K Charity, personal communication May 04, 2016). Main duties in my area of jurisdiction involved collecting data and information from clients, planning for desirable web solutions, and designing integrated web interfaces.  

Observation

Prosoft IT Inc experts facilitated orientation and introduction to the organization. They introduced me to a centralized structure of the organization with different functions. Each department specialized in a particular activity in technology. Departments worked on business systems applications software such as SAP FICO in enhancing finance and commerce. Another department was dealing web hosting services while another one specialized in website development. All their operations are related and coordinated through a central information management system (S. K Charity, personal communication May 04, 2016). I observed that organization had dedicated sections where they conduct research. They have well-established laboratory systems, programming hubs, and research and innovation workshops. They deal with profession testing of developed projects which are verified and validated through an automated system for simulation and modeling.
I observed that organization focus at equipping interns with basic activities and ideas involving handling of systems. Through training, various security awareness operations are taught. Various sessions included awareness on how to prevent and stop attacks by intruders, hackers, and malware (Potts, & Jones, 2011). Interns are trained on techniques to evade some tricks such as social engineering, phishing, and enticing messages on emails (P. T Samuel, personal communication May 08, 2016). I observed that organization has policies and standards applied in allocating intern duties base on their specialization. My department was web development and innovations where I took duties and responsibilities in web designing. Interns were assigned specific supervisor where they could get new duties, present their projects, and report daily progress (P. T Samuel, personal communication May 10, 2016). I observed that the order of operations was strictly professional and coordinated in most effective and efficient manner.

Reflection

Through the intervention of Miss. Charity, and Mr. Samuel I have acquired new information about the structure of organization within an organization. Session on orientation in Prosoft IT Inc went well. All operations in training, interacting with department heads as well as being incorporated in organization working system were a well implemented (S. K Charity, personal communication May 11, 2016). Through cooperation with Prosoft IT Inc staff, I have understood various locations where different offices are situated in the organization. A session involving understanding organization processes, activities and duties have equipped me with an understanding of how duties should be planned, organized and distributed. Prosoft IT Inc expert’s implements spirit of teamwork with all departments collaborating as a single group (P. T Samuel, personal communication May 12, 2016). Project modules are usually divided among organization professional and they work within allocated time (Fernheimer, Litterio, & Hendler, 2011).
Training and workshop exposure introduced new techniques in systems maintenance. Basic methods implemented included incorporation of standard security assurance practices such as the use of antivirus. Through the session, I have acquired new skills in performing activities such as downloading application as well as installing them. Basic configuration and settings implementation were well equipped whereby I gained skills in setting IDE. Data and information security are highly regarded in Prosoft IT Inc. They ensure data confidentiality, integrity, and availability (Armando, Carbone, & Compagna, 2016). Interns are trained how to evade from possible intrusion, hacking, and penetration into systems (S. K Charity, personal communication May 13, 2016). As a web designer, most security potential should include the ability to perform penetration testing, vulnerability testing, among other security measures.
